Who processes the data

The GuildMaster service. You can reach us on Discord through the link in the site footer.

What data we receive

When a guild connects the bot to its Discord server, we receive for each member:

• the Discord user identifier;
• the display name on that server;
• a link to the avatar;
• the list of roles on that server;
• participation in calls: which ones and when.

We also keep a member's previous names. This keeps reports from past weeks readable after a name change.

The guild master may enter a member's in-game name. That is done by them, not by us.

What we do not collect

• conversations on your Discord server: the bot does not read messages except commands in its own channels;
• email addresses and passwords: sign-in goes through Discord, we hold no passwords;
• payment details: payment happens outside the service, we never see your card;
• data from the Albion Online game itself: we have no connection to the game client.

Why we need this data

The only purpose is to show a guild its own statistics: who showed up for content, how many runs happened this week, how the roster is built. The data is used for nothing else.

Who is responsible for what

Member data is brought to us by the guild that connected the bot. The guild decides who to add and who gets dashboard access, so in respect of that data the guild is the controller and we act on its instructions.

By connecting the bot, the guild master confirms they are entitled to pass us their server roster and that members have been informed about the tracking.

Who we share data with

Nobody. We do not sell data, do not pass it to advertisers and do not share it with other guilds.

Technically the data sits on a server in Germany and in the guild's own Google Sheet, if the guild enabled the export. Access to that sheet is granted by the guild itself.

How long we keep it

For as long as the guild uses the service, plus 90 days after disconnection: enough to come back without losing history. After that the data is deleted.

How to delete your data

Message us on Discord and tell us which server you belong to. Within 30 days we will anonymise your record: name, avatar, roles, previous names and the link to your Discord account are erased.

The attendance facts remain, but without any link to a person: otherwise the guild's entire history for past weeks falls apart. They cannot be traced back to an individual.

Your rights

You can ask what data of yours we hold, have it corrected, deleted, or receive a copy. Contact us on Discord, we respond within 30 days.

Age

The service is intended for users aged 16 and over, same as Discord itself. We do not knowingly collect data from anyone younger.

Changes

If this policy changes, we update the date at the top. Significant changes are announced on Discord before they take effect.
